n8n is getting real search attention in Nepal. In our Google Trends comparison for the 12 months ending 7 October 2026, n8n averaged 34 relative-interest points—higher than the broad phrase “workflow automation” at 5. Related rising searches included “n8n AI,” “n8n free,” “n8n automation,” “n8n AI agent,” and “n8n workflow.”

What n8n actually does
n8n is a workflow automation platform. A workflow can receive a trigger, read or transform data, call another system, branch on a condition, wait, request approval, and record what happened. It can also connect AI models to operational steps.
That makes it useful as the connective layer between tools. It is not automatically the system where staff should manage customers, orders, documents, or approvals all day. Sometimes a small interface around the workflow is the missing piece.
Four good first workflows
1. Inquiry triage with approval
A website form or inbox receives an inquiry. The workflow checks required fields, categorizes the request, prepares a reply, and asks a staff member to approve it. Once approved, it records the lead and sends the message.
The AI step is only one part. The business value comes from consistent capture, clear ownership, faster response, and a visible record.
2. Document intake
A customer uploads a regular form, invoice, application, or supporting document. The workflow extracts agreed fields, checks for missing information, saves the original, and routes uncertain cases to a person.
This is a better starting point than asking an “AI agent” to handle an entire case. The inputs, required fields, exceptions, and reviewer are all easier to define.
3. Weekly operating report
The workflow collects data from approved spreadsheets or systems, checks freshness, calculates fixed metrics with ordinary code, drafts a written summary, and sends it to the manager responsible for review.
Use AI for language and pattern explanation. Use deterministic logic for exact totals, thresholds, and dates.
4. Follow-up and escalation
A workflow checks open items on a schedule, reminds the current owner, escalates overdue cases, and records the action. This is often less exciting than a chatbot—and more valuable—because it fixes invisible handoffs.
n8n, existing software, or a custom application?

A hybrid is common: standard software remains the source of record; n8n coordinates events and integrations; a small custom interface gives staff the review queue and status view they actually need.
The production checklist most demos skip
A workflow is not finished when it runs once. Before release, answer these questions.
- Ownership: Who is accountable for the workflow and receives failure alerts?
- Credentials: Which business account owns each connection, and who may edit it?
- Permissions: Who may view executions, change steps, run the workflow, or export it?
- Data boundaries: Which fields may be sent to an AI provider, and which must stay out?
- Idempotency: If a step retries, can it accidentally send the same message or create the same record twice?
- Exceptions: Where do incomplete, ambiguous, or rejected items go?
- Recovery: Can staff resume a failed case without rebuilding it manually?
- Evidence: Can you see the source, result, reviewer, and timestamp for important actions?
- Change control: How will updates be tested before they affect live work?
The official n8n documentation explains that workflow sharing and credential access are separate concerns, and that editors may be restricted from changing nodes whose credentials were not shared. n8n also provides a security audit that checks issues involving credentials, risky nodes, database expressions, file access, webhooks, and instance settings. Those are operating concerns, not optional polish.

Where n8n does not fit well
Do not force n8n into every problem. It may be the wrong primary tool when:
- the process needs a rich, frequently used staff or customer interface;
- hundreds of business rules must stay understandable and testable;
- complex roles and record-level permissions drive the product;
- the workflow requires low-latency interaction at significant scale;
- the organization cannot assign anyone to own monitoring and changes; or
- the process itself is inconsistent and nobody agrees what “done” means.
In those cases, n8n may still handle integrations behind a custom application, but it should not become an invisible replacement for the application.
How to price the first automation
Do not price by the number of boxes on a workflow canvas. Estimate the complete operating scope:
- workflow discovery and example collection;
- integration access and technical constraints;
- normal and exception paths;
- review interface or approval channel;
- test cases and acceptance rules;
- deployment, secrets, logging, and monitoring;
- documentation, training, and handover; and
- support after a provider or API changes.
A small workflow with unreliable source data and difficult approvals can require more work than a larger-looking workflow with clean APIs and simple rules.
A sensible first n8n pilot
Choose one workflow completed at least several times per week. Collect representative examples. Keep outbound messages and material updates behind human approval. Run the pilot alongside the current process long enough to compare turnaround time, corrections, and failure cases.
Only expand after the team can operate the first workflow without the builder watching every execution. That is the difference between a demonstration and adoption.
